QuickBooks Essentials vs Plus: Which Plan Do You Need?

Choose QuickBooks Online Plus over Essentials only if you need one of four things: inventory tracking, profit and loss by project, class and location tracking, or more than three user seats. Everything else the two plans do is identical. Plus costs $140 a month against $85 for Essentials, so the wrong choice costs $660 a year.

The gap between these two plans used to be $40 a month. It is now $55, which makes this a more expensive decision to get wrong than it was last year.

What does QuickBooks Plus add that Essentials does not have?

Four things, and only four that most businesses will notice: inventory with cost of goods sold, profit and loss by project, class and location tracking, and two extra user seats. Bill management, time tracking and multi-currency are already in Essentials, which surprises people who assume those are premium features.

It is worth being blunt about this because a lot of comparison tables pad the Plus column with features that Essentials also has. If you read one that lists bill pay or time tracking as a reason to upgrade, it is out of date.

Do I need inventory tracking in QuickBooks?

You need it if you buy physical goods, hold them, and sell them later, and you want QuickBooks to calculate cost of goods sold automatically as items move. If you buy materials that go straight into a job, or you sell services, you do not need it. Essentials can record the purchase as an expense perfectly well.

The trap is buying Plus for inventory and then never turning it on. QuickBooks inventory needs item records, opening quantities and consistent receiving to be worth anything. A business that tracks stock in a spreadsheet and enters purchases as expenses is not getting $660 a year of value from the feature.

What is profit and loss by project in QuickBooks Plus?

Projects let you tag income, expenses and time to a specific job and then see margin per job rather than only across the whole business. It is the main reason contractors, agencies and anyone quoting fixed-price work upgrades to Plus. Essentials can tag customers but cannot report profitability per project.

If you bill hourly against a rate card and you already know your margin, this matters less. If you quote fixed prices and regularly wonder which jobs actually made money, it is the single most useful thing in the Plus tier.

What is class and location tracking used for?

Classes and locations are two extra dimensions you can attach to a transaction so you can run a profit and loss by department, branch, property or product line. Landlords use locations to see each rental unit separately. Multi-site businesses use them to compare branches without setting up separate company files.

For rental property in particular this is usually the deciding feature, because tracking several units in one file without locations means a chart of accounts that grows unmanageable fast. If you are running commercial units rather than residential, the lease terms are the other half of that record, and it helps to have the rent schedule, escalations and key dates pulled out of each lease into a structured summary before you build the tracking structure in QuickBooks. The limit is the part worth knowing before you commit. Intuit lists the Plus allowance as "Track classes and locations (40)" and Advanced as unlimited, and that 40 is a combined total across both lists, not 40 classes plus 40 locations. For a landlord that is roughly 35 properties once you allow a few locations for entities, and past it the only route is Advanced at $340 a month. Is three users enough on QuickBooks Essentials?

For many small businesses, yes, because your accountant does not consume a seat. QuickBooks provides separate accountant access on every plan, so three Essentials seats means three people inside your own business. If a fourth person needs to enter transactions, that alone justifies Plus at $55 more a month.

Is QuickBooks Plus worth the extra $55 a month?

It is worth it if you use at least one of inventory, projects, classes and locations, or the fourth and fifth seats. It is not worth it as insurance for features you might grow into, because you can upgrade at any time and the change takes effect immediately. Paying $660 a year for optionality is poor value.

Can I switch between QuickBooks Essentials and Plus later?

Yes, in both directions, from account settings. Upgrading takes effect right away. Downgrading takes effect at your next billing cycle, and features from the higher plan stop working, so inventory quantities, project reports and class data become unavailable once you drop to Essentials. Export any report you still need before the downgrade lands.

Should I start on Simple Start instead?

Simple Start at $38 a month covers one user with invoicing, expense tracking, basic reports and bank connections. Step up to Essentials at $85 when you need a second or third user, bill management or multiple currencies. Many sole traders never need more than Simple Start, and the jump to Essentials more than doubles the bill.

Does the plan I choose affect importing bank transactions?

No. Every QuickBooks Online tier accepts uploaded bank files in CSV, QBO, QFX and OFX, capped at 350 KB per file, so importing history is never a reason to upgrade. QuickBooks Online does not accept QIF on any plan, which is the one format that trips people up when they arrive from Quicken.

What does QuickBooks Plus not include?

Plus stops short of batch invoicing, the custom report builder, workflow automation and the 25-seat limit. Those are Advanced features at $340 a month. If you are upgrading from Essentials because you want to send invoices in bulk, Plus will not solve it and you are looking at a $255 a month jump instead of $55.

Plus also does not add a dedicated account manager, priority support or the construction and professional services modules that Intuit sells alongside Advanced. Read the Plus column as ordinary bookkeeping plus four tracking features, not as a general step up in service.

How do I check whether I am already using Plus features?

Open your existing QuickBooks and look for evidence rather than guessing. Run a Sales by Product report and see whether any item has a quantity on hand. Open the Projects tab and count how many projects have transactions attached. Run a profit and loss and try to filter by class or location.

If all three come back empty, you are paying $660 a year for features you have never opened, and Essentials will run your books identically. If any one of them is populated with real data, downgrading will break a report someone relies on, and Plus is doing its job.

Which plan should I pick?

Run through the four gates in order. Do you hold stock you resell? Do you need margin per job? Do you need a profit and loss split by property, branch or department? Do you need a fourth user? One yes means Plus. Four noes means Essentials, and you keep $660 a year.

Check this again at renewal rather than treating it as permanent. Businesses change shape, and the plan that was right two years ago is often one tier too high now.
