QuickBooks Online Plus costs $140 a month and Advanced costs $340, so Advanced is $200 a month or $2,400 a year more. Plus covers five users, 250 accounts and 40 classes and locations. Advanced covers 25 users with no account, class or location cap and adds custom permissions, workflow automation, batch transactions, Spreadsheet Sync and priority support. Buy Plus unless you have outgrown one of those limits.

What is the difference between QuickBooks Online Plus and Advanced?
The difference is scale and control. Plus is the full small business ledger with inventory, projects, budgets and classes for up to five users. Advanced is the same ledger for up to 25 users with the caps removed, plus tools for a finance team: custom roles that limit what each person sees, automated approval workflows, batch entry, live Excel sync and faster support. The bookkeeping itself is identical.
That last point is the one buyers tend to miss. Advanced does not keep better books. A five-person company that posts the same transactions on both plans gets the same balance sheet. You pay the extra $200 a month for headroom and for controls that matter once several people touch the books.
How much more is QuickBooks Advanced than Plus?
Advanced is $200 a month more than Plus at list price ($340 against $140), which is $2,400 a year. During the first three months on Intuit's intro offer the gap is $100 a month. Through ProAdvisor Preferred Pricing it is $140 a month ($238 against $98). The August 2026 increase widened the gap from $160 to $200, so the decision costs more than it did last year.
When should you upgrade from Plus to Advanced?
Upgrade when you hit a hard limit, not when a feature sounds nice. There are four triggers worth paying for, and any one of them is enough:
A sixth person needs to post transactions. Plus stops at five billable users. Report-only and time-only users do not count, so check whether the sixth person really needs to enter data before you upgrade. You are near 250 accounts. Common after a migration from QuickBooks Desktop. You need more than 40 classes and locations combined. Typical for multi-property landlords, franchise operators and anyone tracking many departments. You need to restrict what staff can see. Plus roles are broad; Advanced lets you build a custom role so an AP clerk sees bills and nothing else.
Workflow automation and batch transactions are the fifth reason, but they are a productivity case rather than a limit. They pay back when someone spends hours a week sending reminders or keying dozens of similar invoices. For that kind of volume, a tool that matches each bank line to your books, such as dedicated bank reconciliation software, can also take hours off the month without changing plans.
Is QuickBooks Online Advanced worth the cost?
Advanced is worth $340 a month for a business with six to 25 people in the books, a chart of accounts past 250, or a need for role-based access and approvals. It is not worth it for a five-person company that only wants faster support or nicer reports, because $2,400 a year buys a lot of outside bookkeeping help. Price both plans through your accountant first, since the 30 percent ProAdvisor discount applies to either.
Does QuickBooks Online Advanced have unlimited chart of accounts?
Yes. Advanced has no cap on the chart of accounts, classes or locations. Plus is limited to 250 accounts and 40 classes and locations combined. Intuit counts active accounts toward the limit, so merging unused subaccounts and making old ones inactive is often enough to stay on Plus.
Can I downgrade from QuickBooks Advanced to Plus?
Yes, from account settings, but only when your company fits inside Plus: no more than five billable users, 250 accounts and 40 classes and locations. Advanced-only features such as custom roles, workflows and Spreadsheet Sync stop working after the change. If you are in your first months on Advanced and unsure, set a reminder before the intro offer ends so you choose the plan at its real price.
Does Advanced help a project or construction business more than Plus?
Somewhat. Plus already tracks project profitability and job costing, which is enough for most contractors and agencies billing a few dozen jobs a year. Advanced adds what Intuit calls advanced project financials and a construction financials solution, aimed at firms that need budgets against actuals by job, change orders and progress billing across many open projects. If you run fewer than a handful of crews, Plus with classes for each job line is the cheaper setup.
Test it on your own numbers before paying the difference. Set up two or three real jobs on Plus during the trial or the half-price months, run the project profitability report, and see whether it answers the questions your estimator asks. If it does, the $2,400 a year stays in the business.
Is QuickBooks Online Advanced the same as QuickBooks Enterprise?
No. QuickBooks Enterprise is the Windows desktop product sold by user count with industry editions, and it is a different program with a different file. QuickBooks Online Advanced is the top regular cloud plan. Above Advanced, Intuit sells Intuit Enterprise Suite for multi-entity companies, priced by quote. Most businesses comparing Plus and Advanced do not need either Enterprise product.
Which plan should a business moving from Quicken buy?
Almost always Plus. A business leaving Quicken Home and Business usually has one to three people keeping the books, a few rental properties or job lines to track with classes, and a chart of accounts well under 250. Plus covers all of that at $140 a month. Advanced only makes sense if the move is part of a bigger change, such as hiring an in-house finance team.
Whichever plan you buy, the history is the hard part. QuickBooks Online will not read a Quicken file or a QIF export, only QBO, QFX, OFX and CSV bank files.
