QuickBooks Online Advanced costs $340 a month at Intuit's US list price, which is $4,080 a year. New subscribers can take 50 percent off the first three months ($170 a month) instead of the 30-day free trial, which brings year one to $3,570. Advanced includes 25 users and three accountant logins, unlimited classes and locations, custom user permissions, workflow automation, Spreadsheet Sync and Priority Circle support. Payroll is not included.

Those figures come from quickbooks.intuit.com/pricing and the Advanced product page, and they reflect the August 1, 2026 increase that moved Advanced from $275 to $340 a month, the largest jump of any QuickBooks Online plan. The Advanced subscription now includes Bill Pay Elite, the tier with approval workflows and free 1099 e-filing. QuickBooks Workforce Elite payroll is a separate add-on, which Intuit states in the FAQ on its Advanced plus Workforce Elite page.

If you are pricing Advanced, you are usually past the question of whether to use QuickBooks at all. The real decision is whether the $200 a month gap over Plus buys something your team uses every week. The table puts every legitimate way to pay for Advanced next to Plus, so you can see the real year one and year two numbers before you commit.

Two things stand out. First, Advanced at list price costs $2,400 a year more than Plus, so the upgrade has to pay for itself in saved hours or avoided errors. Second, the gap between the cheapest and the most expensive route to the same plan is huge: an accountant-billed subscription saves $1,224 a year, and an eligible nonprofit pays $170 for the whole year. Taxes, payroll, payment processing and time tracking are extra on every route.

How much is QuickBooks Online Advanced per month?

QuickBooks Online Advanced is $340 per month at list price, billed monthly with no annual contract. On Intuit's intro offer you pay $170 a month for the first three months, then $340. That puts a full year at $4,080 at list, $3,570 in year one with the offer, and $2,856 a year through ProAdvisor Preferred Pricing.

Sales tax is added on top in most states. The figure also excludes payroll, QuickBooks Payments fees and any third-party apps you connect, which is where Advanced bills often grow. A company running payroll for 20 employees can easily spend more on the payroll add-on than on the accounting subscription.

What do you get with QuickBooks Online Advanced?

Advanced includes everything in Plus and adds the controls a larger team needs. Intuit lists these as exclusive to Advanced: custom user permissions and access, workflow automation, Spreadsheet Sync with Excel, batch invoices and expenses, Priority Circle support and on-demand training, construction financials, advanced project financials, and free 1099 e-filing with approval workflows through Bill Pay Elite.

The features most teams actually upgrade for are the first three rows. Hitting the five user ceiling or the 40 class and location cap is a hard stop on Plus, while workflow automation and Spreadsheet Sync are the conveniences that save a controller several hours at each month end.

How many users does QuickBooks Online Advanced include?

QuickBooks Online Advanced includes up to 25 users plus three accountant users, compared with five users and two accountants on Plus. Accountant seats do not count against the 25, and Intuit lets you control what each accountant can see.

There is no plan above 25 users inside QuickBooks Online. A business that needs more seats moves to Intuit Enterprise Suite or another mid-market system, so if you are already at 20 users and hiring, budget for that conversation now.

Why did QuickBooks Advanced go up to $340?

Intuit raised QuickBooks Online prices on August 1, 2026, and Advanced moved from $275 to $340 a month, a $65 increase or $780 a year. Intuit tied the new price to AI bookkeeping features and to including Bill Pay Elite in the subscription. Existing subscribers saw the new price on their first bill on or after that date.

Some write-ups of the increase say Workforce Elite payroll is now bundled into Advanced. Intuit's own Advanced plus Workforce Elite page says the opposite: Workforce Elite is an optional add-on billed separately from the Advanced subscription. Budget for payroll as its own line. Does QuickBooks Advanced include payroll?

No. QuickBooks Online Advanced does not include payroll. QuickBooks Workforce Elite, the payroll and HR tier usually paired with Advanced, is an optional add-on billed separately, according to the FAQ on Intuit's Advanced plus Workforce Elite page. Intuit's public payroll pricing page lists bundles only for Simple Start, Essentials and Plus, so Advanced payroll is quoted through sales.

For reference, the Plus bundle with Workforce Premium is listed at $203 a month plus $10 per employee. Expect Workforce Elite on Advanced to cost more than that per employee, and ask Intuit for the per-employee figure in writing before you sign.

Is QuickBooks Advanced worth it?

QuickBooks Advanced is worth it when you have more than five people who need their own login, more than 40 classes and locations, or a real need for custom permissions and approval workflows. If none of those apply, Plus does the same accounting for $2,400 a year less, and the difference pays for a lot of bookkeeping help.

A simple test: count the hours your team spends each month on work Advanced automates (batch invoicing, recurring approvals, rebuilding Excel reports by hand). At $200 a month extra, Advanced pays for itself once it saves roughly four to six hours of a bookkeeper's time. Below that, stay on Plus and revisit when you add staff.

What is the difference between QuickBooks Plus and Advanced?

The difference between QuickBooks Plus and Advanced is scale and control, not core accounting. Both handle inventory, projects, budgets and class tracking. Advanced raises users from 5 to 25, removes the 40 class and location cap and the 250 account limit, and adds custom permissions, workflow automation, Spreadsheet Sync, batch transactions, Bill Pay Elite and Priority Circle support for $200 more a month.

Is there a discount on QuickBooks Online Advanced?

Yes. There are three real discounts on QuickBooks Online Advanced: Intuit's intro offer of 50 percent off the first three months for new subscribers, ProAdvisor Preferred Pricing at 30 percent off when your accountant bills the subscription, and TechSoup's donated subscription for eligible nonprofits at a $170 yearly admin fee. Only the last two last beyond the first quarter.

How much is QuickBooks Advanced for nonprofits?

Eligible US nonprofits can get a one-year QuickBooks Online Advanced subscription for 25 users through TechSoup for a $170 admin fee, instead of $4,080 at list price. Plus is available the same way for $80 a year. Payroll and other add-ons are not part of the donation and are bought from Intuit at normal prices.

Eligibility is set by Intuit and checked by TechSoup, and it centers on registered 501(c)(3) status. Many small nonprofits start in Quicken, outgrow it when a grant or an audit asks for class or program reporting, and move to donated QuickBooks. Is there a free trial of QuickBooks Online Advanced?

Yes. QuickBooks Online Advanced has a 30-day free trial, and Intuit's Advanced page states there is no auto-renew on the trial, so you are not charged unless you choose to buy. You cannot stack the trial with the 50 percent intro offer. If you are sure you will buy, the offer saves more ($510 over three months) than the trial ($340).

Can you pay for QuickBooks Advanced annually?

Intuit's public pricing page sells QuickBooks Online Advanced month to month with no annual contract and does not advertise an annual prepay discount. The routes that work out to an annual price are ProAdvisor Preferred Pricing, which your accountant bills at 30 percent off, and the TechSoup nonprofit subscription, which is a one-year term with a single $170 fee.

What happens if I downgrade from Advanced to Plus?

You can downgrade from Advanced to Plus, but your company has to fit the Plus limits first: five users, 40 classes and locations combined, and 250 accounts in the chart of accounts. Advanced-only features such as workflows, custom roles and Spreadsheet Sync stop working after the switch, while your transactions and reports stay in the file.

Clean up users and merge classes before you change plans. Doing it the other way round tends to block the downgrade at the confirmation screen, which is frustrating at the end of a billing cycle.

Can I import Quicken data into QuickBooks Online Advanced?

Yes, but not as a QIF file. QuickBooks Online Advanced imports bank transactions the same way every QuickBooks Online plan does, through bank feeds, CSV or a QBO Web Connect file. Quicken exports QIF, which QuickBooks Online rejects. Convert the QIF to QBO first with the converter at the top of this page, then upload it under Banking.
