TechSoup QuickBooks for Nonprofits Price and Admin Fee

Through TechSoup, an eligible US nonprofit pays a $80 yearly admin fee for QuickBooks Online Plus (5 users) or $170 a year for QuickBooks Online Advanced (25 users). At Intuit's list prices the same plans cost $1,680 and $4,080 a year. Payroll is not included, each organization gets one donated subscription in its lifetime, and the offer cannot be applied to an existing QuickBooks account, so plan the data move before you order.

Those terms come from TechSoup's own QuickBooks Online for Nonprofits page and its February 2026 update on the program. This guide is for treasurers, executive directors and bookkeepers who are about to buy: what the fee covers, who qualifies, which plan to choose, and how to bring old records across, including the common case where the books currently live in Quicken rather than QuickBooks.

How much does QuickBooks cost through TechSoup?

QuickBooks Online Plus costs an $80 admin fee per year through TechSoup and QuickBooks Online Advanced costs $170 per year. Both are one-year donated subscriptions that renew annually for the same fee. TechSoup charges only the admin fee for the original subscription and each renewal, and Intuit adds no separate subscription charge on top.

List prices are Intuit's US monthly rates after the August 2026 increase. The fees TechSoup quotes are flat for the year, so a nonprofit on Plus pays less for twelve months of QuickBooks than a for-profit company pays for one month. Is QuickBooks free for nonprofits through TechSoup?

Not quite free. The software is donated by Intuit, but TechSoup charges an admin fee of $80 a year for Plus or $170 for Advanced. That fee is the whole cost of the subscription. Older articles quote lower fees, such as $50 or $75, from earlier years of the program, so use TechSoup's current page when you build the budget line.

Who is eligible for TechSoup QuickBooks?

In general, US 501(c)(3) nonprofits and public libraries qualify for TechSoup's Intuit offers, while other exempt groups such as 501(c)(4) and 501(c)(6) organizations do not. You need a validated TechSoup account first, and TechSoup's eligibility quiz is the official check. Fiscally sponsored projects cannot use their sponsor's account to request their own subscription.

Separate branch or office locations may be eligible for their own subscription, but programs and departments of one organization usually are not. If your church, school or club runs several programs, track them as classes inside one Plus subscription rather than trying to request several.

How many donated QuickBooks subscriptions can a nonprofit get?

One. TechSoup's Intuit page states that each organization may receive one donated QuickBooks Online subscription in its lifetime, renewed each year for the admin fee. If a setup goes wrong, for example a failed data migration, you have to contact TechSoup customer service for a new registration link rather than ordering again. Get the setup right the first time.

Can I use TechSoup QuickBooks with my existing QuickBooks account?

No. The TechSoup offer cannot be applied to an existing QuickBooks Online account. You receive a new, donated subscription and move your data into it. TechSoup works with QuickBooks Made Easy, whose data migration service copies an existing QuickBooks or QuickBooks Online company file into the new account. Payroll history is one of the things that does not transfer between subscriptions.

This is the step that catches most treasurers. If you start using the donated account before the migration is done, you end up with two sets of books and a messy reconciliation. Order the subscription, migrate, then switch the bank feeds over.

How do I move Quicken data into a TechSoup QuickBooks subscription?

The TechSoup migration service moves QuickBooks data, not Quicken data. If your nonprofit's books are in Quicken, export each account as a QIF file, convert the QIF to a QBO Web Connect file with the converter at the top of this page, and upload it to the matching bank account in the new QuickBooks Online subscription. Dates, payees, amounts and memos come across intact.

Do it account by account and check each ending balance against the bank statement for the same date. Once the history is in, reconcile the most recent month inside QuickBooks, or let a dedicated tool match the bank lines against your ledger if you have several accounts and a board meeting coming. Does TechSoup QuickBooks include payroll?

No. TechSoup states that add-on services such as QuickBooks Payroll are not available through the program and are not included in the admin fee. A nonprofit with staff buys payroll directly from Intuit at its regular price, or uses an outside payroll provider and records the journal entries in QuickBooks. Budget for payroll as a separate line, because it often costs more than the donated subscription itself.

Can I get QuickBooks Desktop through TechSoup?

TechSoup's current Intuit program lists only QuickBooks Online Plus and Advanced. TechSoup announced the end of the traditional desktop versions for its members after Intuit's changes to desktop products, so a nonprofit that wants donated QuickBooks today is choosing an online plan. If you still run QuickBooks Desktop, the migration service can copy that company file into the new online subscription.

Should a nonprofit choose QuickBooks Plus or Advanced on TechSoup?

Most small and mid-sized nonprofits should choose QuickBooks Online Plus for $80 a year. It covers five users, budget versus actuals, and class and location tracking for programs, grants and restricted funds. Choose Advanced for $170 only if you need more than five people in the books, more than 40 classes and locations combined, custom user permissions or the larger reporting tools.

Because you only get one donated subscription in your lifetime, err on the side of the plan you will need in two years, not the one you need this month. The $90 a year difference is small next to the cost of migrating again.

How do I renew TechSoup QuickBooks?

You renew by paying TechSoup the annual admin fee again. About 30 days before the due date, a renewal request appears in your organization's TechSoup account under Request History, and TechSoup sends reminders at 30, 15 and 5 days before the subscription expires. TechSoup accepts credit card or electronic check for QuickBooks Online payments.

Put the renewal date in the finance calendar next to your fiscal year end and your Form 990 deadline. A lapsed donated subscription is a headache to restore in the middle of an audit.

What does TechSoup QuickBooks support cost?

TechSoup's own customer service does not provide QuickBooks support. Paid help comes from QuickBooks Made Easy for Nonprofits, which TechSoup offers as a data migration service, a QuickBooks help desk on three-month or one-year terms, integration support for Bloomerang, Little Green Light and Neon One, Form 990 filing services and training. Prices for those services are listed separately from the admin fee.

Is TechSoup QuickBooks worth it for a small nonprofit?

For almost any 501(c)(3) that has a board, a grant or an annual audit, yes. $80 a year buys five logins, program and grant tracking and the reports a funder asks for, which is less than many nonprofits spend on Quicken. The real cost is the setup time, so get your old records converted and the chart of accounts aligned to Form 990 before the first board meeting on the new system.
